Answers

Q1.When are completed nomination and application forms due and how should they be submitted?
A1. All nominations and applications are due January 18, 2011. The method of submission (see guidelines for specific instructions) is as follows:

National Teacher of the Year Award postmarked on or before January 17, 2012.

21st Century Community Champion Award and Friend of the Family Award submitted as specified in their guidelines (continue to check these links to the Public Policy section of the web for updates).

Ruth O'Brien Project Grant, Centennial Scholars Research Grant, Leaders Award, New Achievers Award, National Undergraduate Scholarship, Graduate Fellowships, and Excellence in Extension Award submitted online no later than January 17, 2012.


Q2. Why can’t I just submit any award, grant, fellowship or scholarship application or nomination online?
A2.

The Association is developing its online submission system, and should have more options in place next year.  Thank you for your patience as the transition occurs.


Q3. How do I obtain guidelines and nomination and application forms?
A3.

In the fall of each year, links to award, grant, fellowship, and scholarship guidelines and forms can be found in the Award Programs section of the AAFCS website.


Q4. I cannot find a particular award, grant, fellowship, or scholarship on your website but I know that I have seen it offered before. Is it offered this year?
A4.

You may have missed it when looking at the current year’s full list. Otherwise, it is not offered in the current year—check the following year’s schedule and continue to check the website for updates.


Q5. Some guidelines mention additional points for nominees and applicants who hold AAFCS credentials. Do I hold an AAFCS credential?
A5. You do if you took an AAFCS competency exam, passed the exam, paid a fee, and continue to pay a maintenance fee and report the required number of Professional Development Units (PDUs).   AAFCS offers one broad field certification and two concentration certifications in family and consumer sciences:
  • CFCS - Certified in Family and Consumer Sciences
  • CFCS-HDFS - Certified in Human Development and Family Studies
  • CFCS-HNFS - Certified in Hospitality, Nutrition, and Food Science.
  • CPFFE - Certified Personal and Family Finance Educator

Effective September 1, 2005, there was a new certification category called CFCS, Retired, available to those who are already certified and meet the Association's eligibility requirements for retired professionals (an active member for at least 10 years, 60 or more years of age, meeting retirement guidelines at place of employment, and no longer gainfully employed) and have requested the change to "retired" certification status. For more information on how you can obtain and maintain AAFCS certifications, how you can attain CFCS, Retired status, or whether you are "CFCS," contact the FCS Credentialing Center at 703-706-4600, 800-424-8080, or certification@aafcs.org.


Q6. Is there a single list of every award, grant, fellowship, and scholarship that will be offered in the current year?
A6.

Yes, there is a current year list of awards, grants, fellowships, and scholarships offered in 2011. There is also a list of awards, grants, fellowships, and scholarships offered in the following year.


Q7. I have guidelines and a form that I used a couple of years ago. I can e-mail those to someone else to use this year, right?
A7.

Old guidelines and forms should not be used because deadlines and requirements may have changed. Additionally, most awards and all grant, fellowship, and scholarship applications are to be submitted online. Current guidelines and forms can be found in the Award Programs section of the website.


Q8. AAFCS seems to have many fellowships and grants, but some are not offered every year. Why is this?
A8. Some are offered every other year for these reasons:
  1. To increase the award amount.
  2. To allow time for available award funds to earn interest.
  3. To even out the administrative support time needed to manage this program.

Monetary awards are given from the accumulated interest on the funds, leaving the principal of the fund intact. By using the rotation cycle, AAFCS is not likely to need to dip into the principal, both because the award is paid out less often and because less time is spent on administration.  Even with this policy in place, numerous grants and fellowships are available in a given year.

An award is defined as a merit honor based on performance and on contributions to the field of family and consumer sciences.


Q10. What is a grant?
A10.

A grant is defined as financial support given for research studies in family and consumer sciences.


Q11. What is a fellowship?
A11.

A fellowship is financial support from an endowment given to a student for graduate study in family and consumer sciences.


Q12. What is a scholarship?
A12.

A scholarship is financial support from an endowment given to a student for undergraduate study in family and consumer sciences.


Q13. Why can't new guidelines and forms be posted immediately after the due date for the previous year?
A13.

The award, grant, fellowship, and scholarship process requires a full year of preparation. Immediately after completed nomination and application packages are received at headquarters, the names of the nominees and applicants have to be recorded, and the packages have to be sorted and forwarded to jurors. The jurors need time to review the packages and rate them on score sheets, which are returned to headquarters. After the scores and comments are recorded and reviewed, the winners are chosen after the results are discussed.

Once the fiscal year has ended, the amount of money in each award, grant, fellowship, and scholarship fund can be calculated. At this point, it is possible to determine which awards, grants, fellowships, and scholarships will be offered, and the work of updating the guidelines and forms can begin.


Q14. What e-mail address and password should I use to access the online system to submit a Leaders Award, New Achievers Award, or Wiley-Berger Award for Volunteer Service nomination or a grant, fellowship, or scholarship application?
A14.

You can use any working e-mail address and can assign it any password that is that is at least 6 characters and includes one numeric digit or special character (i.e., !,@,#,$,%,^,&,*). You do NOT need to use your AAFCS member number as your password, and you do NOT need to use the same username and password combination that you use to log into the AAFCS web portal.


Step 1. Read the guidelines for the award, grant, fellowship, or scholarship for which you would like to apply online. Click on the link provided in the guidelines or copy and paste the link into your browser.

Step 2. If you submitted a proposal for the 2011 Annual Conference & Expo, you can use the same 2011 conference username, e-mail address, and password you used to submit that proposal a few weeks ago, provided the e-mail address works.
OR
If you did not submit a proposal for the 2011 Annual Conference & Expo, you will need to create an account. Click on the link in the guidelines for the award, grant, fellowship, or scholarship for which you are applying.  After the web page opens, click on “Create an Account,” which is on the right side of the page, and follow the directions for creating an account. Please remember that a password must be at least 6 characters, and include one numeric digit or special character (i.e. !,@,#,$,%,^,&,*).  You do NOT need to use your AAFCS member number as your password, and you do NOT need to use the same username and password combination that you use to log into the AAFCS web portal. 
OR
If you submitted online applications for awards, grants, fellowships, or scholarships, or proposals for the AAFCS conference between 2004 and 2009, you will still need to create an account for this new system. In general, you should be prepared to provide information in these areas —your contact information, your nominator information, and your professional career. Before you begin submitting your nomination online, be sure you have the following information:

  • Contact and membership information – name, contact information, AAFCS membership number, AAFCS credential(s) in family and consumer sciences
  • Nominator information – name and contact information for nominator
  • Letter of nomination – describes what makes the nominee outstanding, signed by the president or national chair/leader of the nominating group

Upload a letter of nomination that describes what makes the nominee outstanding and is signed by the president or national chair/leader of the nominating group (scan, if necessary, and upload); curriculum vitae/resumé (max three (3) typed, double-spaced pages with one-inch margins on all sides and a typeface of 10 to 12 characters per inch) that has been updated within the past year (scan, if necessary, and upload); and a maximum of six (6) pages of supporting materials (may include brochures; programs; photographs; newsletters; newspaper, magazine, and journal articles; complete bibliographical citations; and other relevant supporting material) that address each of the evaluation criteria listed in the guidelines (scan, if necessary, and upload). In general, you should be prepared to provide information in these areas—your contact information, your nominator information, and your volunteer experience. Before you begin submitting your nomination online, be sure you have the following information:

  • Contact and membership information – name, contact information, AAFCS membership number, AAFCS credential(s) in family and consumer sciences
  • Nominator information – name and contact information for nominator
  • Letters of support (max. four letters/max two pages per letter) – one from each of the following sources: community agency, community representative, AAFCS affiliate officer, and recipient of volunteer service. The letters should give evidence of the impact and importance of the volunteer service. Letters should include the category of letter (community agency, community representative, AAFCS affiliate officer, and recipient of volunteer service), name of the letter writer, and contact information for the letter writer.
  • Supporting material (max. three pages) – relevant handouts, website URLs, newspaper articles, photographs, and other pertinent materials
  • Description of supporting material (max. 75 words) – provide a brief narration about how the additional materials support the nomination
  • Service or project (max. 1500 words) – Describe the nominee’s volunteer service (part A) OR special volunteer project (part B):
    A. Explain how the nominee has contributed to the community through consistent volunteer service over the preceding five (5) years. Please address each of the following seven (7) areas:
         1. Community demographics.
         2. Extent and diversity of volunteer activity.
         3. Level of responsibility in volunteer activity.
         4. Application of family and consumer sciences knowledge.
         5. Number of individuals or groups served.
         6. Total number of years of volunteer service.
         7. Impact of the nominee’s volunteer service on the community.
         OR
         B. Describe the situation or problem in a community for which a special project was organized.
         Please address each of the following seven (7) areas:
         1. Situation or problem; pertinence and timeliness of program for community served; barriers or
             program constraints.
         2. Community demographics.
         3. Organization(s) for which the project was implemented and total number of hours of involvement.
         4. Project funding to include source, amount, origin, and status.
         5. Application of family and consumer sciences knowledge.
         6. Evidence that goals and objectives of program have been met or are being met.
         7. Impact of the nominee’s volunteer service on the community(ies) or population(s) served.


Q21. What supporting documentation should I upload with my Wiley-Berger Award for Volunteer Service nomination?
A21. Upload four (4) letters of support (maximum of two (2) pages per letter; scan, if necessary, and upload). Letters should include the category of letter (community agency representative, community representative, recipient of nominee's volunteer service, and AAFCS affiliate officer), name of the letter writer, and contact information for the letter writer. Each letter should give evidence of the impact and importance of the volunteer service and come from one of the following sources:
  • Community agency representative
  • Community representative
  • Recipient of nominee's volunteer service
  • AAFCS affiliate officer

Q22. What questions will I be asked when I work on my Excellence in Extension Grant application? Are there word limits on my answers?
A22.

In general, you should be prepared to answer questions about two areas—the participants involved and the proposal itself.  Before you begin submitting your application(s) online, be sure you have the following information:

  • Project participant(s) – order of participants (if multiple participants), name, contact information, AAFCS membership status, AAFCS membership number (if applicable), AAFCS credential(s) in family and consumer sciences
  • Project title (max. 250 characters)
  • Project narrative (max. 2,000 words/20,000 characters) – 1.  Purpose:Provide justification or rationale for the project; include the relationship of the proposed project to the current and relevant issues in AAFCS or Extension; indicate the project’s contribution to increased public knowledge of family and consumer sciences and its value to society; indicate how the project expands the body of knowledge related to Family and Consumer Sciences; indicate how the project expands the program efforts of Cooperative Extension. A brief literature review may be used to support the statement of purpose.  2.  Objectives:  Include clearly stated project objectives and anticipated outcomes achievable within one (1) year.  3.  Plan of Action:  Include clearly stated project activities with a month-by-month timeline which shows the activities required to accomplish the objectives of the project, along with the target completion date.  4.  Dissemination:  Indicate how the project will be disseminated or marketed; identify target audiences. 5.  Evaluation:  Indicate how this project will be monitored and evaluated to determine whether the objectives have been met and goals achieved.6.  References:   Include citations of references in the narrative and list any references used in a bibliography.   
  • Budget (max. 500 words/5,000 characters) – 1.  Budget Summary  2.  Budget Narrative: Provide a brief narrative explaining the proposed use of AAFCS Excellence in Extension Grant funds by each line item.
  • Personnel and sponsoring organization background (max. 500 words/5,000 characters) – Provide description of the expertise of the principal project personnel and a brief background information on the Extension organization, including a statement of its mission and the support of the Extension organization for this project.

Q23. What supporting documentation should I submit with my Excellence in Extension Grant application?

No supporting documentation is necessary.


Q24. Why do you ask about “project participants” in application for the Excellence in Extension Grant?
A24.

Those who are submitting applications for a grant may be working in groups on their projects and should provide contact information for everyone involved because the names of all participants will be listed in the program book if the project wins. 


Q25. What is the “order of project participants?”
A25.

Those who are submitting applications for a grant may be working in groups on their projects and should provide contact information for everyone involved because the names of all participants will be listed in the program book if the project wins.  Typically, the submitter will list the names of project participants in an order that reflects each person’s contribution to the project; i.e., the first name listed is the name of the person who has contributed or will contribute the most to the project—the team leader.  The order of project participants will not affect the outcome of the jury process.


Q26. What questions will I be asked when I work on my Graduate Fellowship application? Are there word limits on my answers?

In general, you should be prepared to answer questions about these areas —your contact information, the specific fellowship(s) for which you feel you qualify, your graduate and undergraduate information, and your professional plans.  Before you begin submitting your application(s) online, be sure you have the following information:

  • Contact, nembership, and credential Information – name, contact information, AAFCS membership status, AAFCS membership number (if applicable), AAFCS credential(s) in family and consumer sciences
  • Graduate program – name of school to which applicant has applied/been admitted, graduate degree that will be/is being sought, field of study/major, anticipated date of graduation, date of admission, if applicable
  • Undergraduate program (if applicable) – undergraduate degree that is being sought, field of study/major, anticipated date of graduation
  • Research problem (max. 500 words/5,000 characters) – If a research problem has been selected and planned, discuss the following:  Topic, design, and methodology; potential significance of study and anticipated value of its findings; How this area of research relates to the field of family and consumer sciences; date the study began and the progress made; or date the study is expected to begin OR If a research problem has not been selected, discuss the following: Research area of problem that applicant views as a strong possibility for graduate study; possible significance and potential value of such a study; how this area of research relates to the field of family and consumer sciences
  • Professional goals/biographical sketch (max. 600 words/6,000 characters)
  • Narrative for international students only (max. 1000 words/10,000 characters) – Applicant’s professional goals, including specific plans for advanced study.  Brief biographical sketch.  Describe the family and consumer sciences preparation available at colleges or universities in your home country.  What is the highest degree in family and consumer sciences that can be obtained in your country?  Give a brief description of the preparation you have had in family and consumer sciences.  What are your career plans when you complete your degree?  Please explain any commitments you have when you return to your home country. How will the field you plan to study better prepare you to carry out the work of family and consumer sciences in your home country or the country where you expect to be employed?

Q27. What supporting documentation should I upload with my Graduate Fellowship application?

You may upload up to three completed 2012 AAFCS Graduate Fellowship Recommendation Forms (scan first, if necessary). You should also upload undergraduate transcripts (scan first, if necessary), graduate transcripts, if applicable (scan first, if necessary), and a resumé that includes the following: educational background (include GPA on a 4-point scale), professional experiences and responsibilities (include graduate assistantships if relevant), special recognition and/or awards received and include dates (e.g., honors, awards, scholarships, grant proposals funded, and stipends), participation in volunteer and community service activities, and professional and leadership development activities, such as student organizations. You may upload Microsoft Word 97-2003 documents (.doc), JPEG images (.jpg), and Adobe Acrobat documents (.pdf) up to 3 megabytes each.


Q28. What questions will I be asked when I work on my National Undergraduate Scholarship application? Are there word limits on my answers?

In general, you should be prepared to answer questions about these areas—your contact information, your undergraduate information, and your professional plans.  Before you begin submitting your application(s) online, be sure you have the following information:

  • Contact and membership information – name, contact information, AAFCS membership status, AAFCS membership number (if applicable)
  • Undergraduate program – name of school to which applicant has applied/been admitted, undergraduate degree that will be/is being sought, field of study/major, date of admission to FCS program, if applicable
  • Professional goals (max. 500 words/5,000 characters)

Q29. What supporting documentation should I submit with my National Undergraduate Scholarship application?
A29.

You may upload up to three completed 2012 AAFCS National Undergraduate Scholarship Recommendation Forms(scan first, if necessary).  You should also upload undergraduate transcripts (scan first, if necessary), and a resumé that includes the following:  educational background (include GPA on a 4-point scale), professional experiences (include responsibilities), special recognition and/or awards received and include dates (e.g., honors, awards, scholarships), participation in volunteer and community service activities, professional and leadership development activities, such as student organizations, and certifications, licenses or other background information (optional). You may upload Microsoft Word 97-2003 documents (.doc), JPEG images (.jpg), and Adobe Acrobat documents (.pdf) up to 3 megabytes each.


Q30. Do spaces count against my character limits when I am working on my nomination or application in the online submission system?
A30.

No, spaces do not count. Please note, though, that if you copy and paste text from another program, you must click the space bar to activate the character/word counter that tracks whether the text has reached its character/word limit.


Q31. I have no doubt that I want to submit a Leaders Award or New Achievers Award nomination or a Ruth O’Brien Project Grant, Graduate Fellowship, or National Undergraduate Scholarship application, or Centennial Scholars Research Grant, or National Teacher of the Year Award.  Why shouldn’t I go directly to the online system to work on my application?
A31.

Spelling and grammatical errors will result in a lower score, and there are no grammar check functions available in the online system. Submitters may prefer to develop the material in a word processing program, where grammar and spelling can be checked more easily before the proposal is copied and pasted into the online system.

I am still developing my Leaders Award or New Achievers Award nomination or Ruth O'Brien Project Grant, Centennial Scholars Research Grantt, Excellence in Extension Award, Graduate Fellowship, or National Undergraduate Scholarship application in a word processing document, but am not ready to submit it. Should I still access the online system?

Nominations and applications can be saved in the online system and edited until January 17, 2012, at midnight (11:59:59pm Eastern Time). To save your work at any time, click on "Save." Once you have completed your work, click on “Save” and make sure you do not see an error message that indicates there are required fields that have been left blank.   If there are not any errors, click “Submit & Review Changes” to look over your work, and if there is nothing to edit, click “Finalize.” Please note that even submitted nominations can be edited until January 17, 20121 11:59:59pm Eastern Time. Nominations that have not been submitted by January 17, 2012 11:59:59pm Eastern Time and marked “Complete” are considered incomplete.

I submitted my  Ruth O'Brien Project Grant, Centennial Scholars Research Grant, National Teacher of the Yea, Leaders Award or New Achievers Award nomination or Excellence in Extension Award, Graduate Fellowship, or National Undergraduate Scholarship application by clicking the “Save and Complete” button. Now I realize I need to change some information on my completed application. Is it too late?

It is not too late. You can make changes even to your submitted applications by logging onto the online system. You can do this as often as needed until 11:59:59pm Eastern Time on January 17, 2012.


Q35. I am already working on my nomination or application online and am having technical problems.  Whom can I contact for help?
A35.

If you are having a technical problem and wish to contact technical support while working on your nomination or application, click on a link (in the upper, right-hand corner of your application) called “Support” A pop-up window will appear. Complete the form that is in the pop-up window and click on the "Submit" button. Technical support is open from 9am to 5pm Eastern Time, Monday through Friday.


Q36. What is my Reference ID number?
A36.

The Reference ID number is found near the top right-hand corner of your Wiley-Berger Award for Volunteer Service, Leaders Award, or New Achievers Award nomination form or Excellence in Extension Grant, Graduate Fellowship, or National Undergraduate Scholarship application form. It is a unique number assigned only to your nomination or application, and helps us locate your nomination or application if you have questions about it. Be careful not to confuse the Reference ID number with other identifying numbers, such as your AAFCS member ID.


Q37. I would like someone else to proofread my nomination or application after I have put the information in the online system.  How do I do that?
A37.

Share your e-mail address and password. If others log in as you, they will have access to your nomination or application.


Q38. Will I be able to continue accessing the online application system after the deadline has passed so that I know what information I provided?
A38.

The online application system will be closed at 11:59:59pm Eastern Time on January 18, 2011.  But if you submit your application before the deadline, you will be given an opportunity to print your application.  Please do so and keep a copy of it.


Q39. When will I be notified of the outcome of the selection process and, if I submitted a group project for a grant, will everybody listed as a project participant (if applicable) be notified?
A39.

A message will be sent in spring 2011 to nomination and application submitters only.  The submitter is considered the main contact person and is responsible for notifying all other participants, if any, of information provided by AAFCS.


Q40. I am a student who might be interested in an AAFCS fellowship or scholarship. What is family and consumer sciences?

The field of family and consumer sciences (FCS) encompasses the study of relationships among people and their personal environments in order to strengthen communities and advance the well-being of individuals and families over their lifespan. FCS is rooted in the arts, social and natural sciences and humanities. In order to address challenges related to the health of individuals, families and communities, FCS uses integrative, interdisciplinary approaches that consider individuals and families in the context of their environments.
