The former EXPO is transforming to the “Hub,” which allows for more engagement, networking, the place for impromptu meetings, tabletop exhibits and full exhibit booths, FCS Fast Talks presentations, micro-learning, Poster Sessions and Showcases -- all in one place that will be convenient for conference attendees!

Exhibitor Opportunities

Exhibits provide an opportunity for YOU to showcase your organization, resources and products. AAFCS Communities, Affiliates, partners, and other organizations are invited to participate and reserve exhibit space. 

  • There is no cost for AAFCS Communities and Affiliates unless you are selling products.

  • Two AAFCS affiliates or communities may share one tabletop exhibit.

  • Small business owners may also participate, and per Florida law, all exhibitors who are selling products must submit a completed sales tax form.

The 2022 conference offers traditional EXPO/Hub space; however, without the pipe and drape display. The open concept allows for more visibility and more engagement in the ballroom!

All exhibitors will be required to complete our reservation form. The exhibit options are available the entire duration of the EXPO/Hub’s hours of operation (June 25-27), whether you are participating one day or all three days.


Tabletop Exhibit: You may reserve one or more 6' skirted table(s) and 2 chairs ($250 per table).

Full Exhibit Booth: You may reserve a 10' x 10' full exhibit space with a 6' skirted table and 2 chairs ($1,000 per booth).

Step 2:
Upon confirmation of reservation from AAFCS, you will receive the link to pay for the exhibit space (payment deadline: May 31st) AND register each exhibitor representative. As an eligible exhibitor, the Registration Rate is $200 per representative. Please note the registration deadlines.

Step 3:
Exhibitors will receive an Information Packet with the tabletop/full exhibit booth assignment from AAFCS prior to on-site arrival.

Need to Know Exhibit Information

  • Location: Majestic 1-3 (Palms Conference Center)

  • Hours of Operation: the EXPO/Hub is open on the following days and hours as listed in the Schedule:

            Saturday, June 25th: 11:00am – 3:15pm
            Sunday, June 26th: 11:15am – 3:15pm
            Monday, June 27th: 11:15am – 3:15pm  
Exhibitors will have early entry at 8:30am each morning to set up.
            - The EXPO/Hub will be locked after hours starting at 3:30pm.
            - On June 27th, tear-down begins after 4pm; all exhibitor tables must be clear by 7:00pm.

  • Priority space will be assigned to 10' x 10' exhibit reservations.

  • AAFCS asks that you have someone staff your exhibit(s) during the EXPO/Hub’s hours of operation. Security for your products is your responsibility during open hours, please arrange for continuous staffing for your space each day during the hours of operation. If you will not be available for the entire day and leave merchandise on the table, AAFCS will not be responsible for any missing or damaged merchandise. AAFCS is unable to accommodate any storage needs.

  • Discounts are not available for exhibits that are open limited hours.

  • Please be aware that regulations do not permit electrical appliances or unpackaged food to be brought into the hotel.

  • Any exhibitor who is selling products must adhere to policy set forth by the state of Florida:

    • Per Florida law, all exhibitors who are selling products must submit a completed sales tax form.

    • Please read the FAQs on the Florida Dept. of Revenue website to ensure you’re fully informed about Florida’s laws surrounding sales at special events!

    • The Florida sales tax rate is 6%. Exhibitors are required to pay Florida tax on goods sold at the hotel unless you are eligible and filed for the tax-exempt status. Neither AAFCS nor the DoubleTree by Hilton Hotel Orlando at Sea World is responsible for collecting the sales tax.
