Instructions for Test Site Approval

The Pre-PAC testing year begins on August 1 and ends on June 30 of the following year.  To purchase and administer AAFCS Pre-PAC products, the test site must be approved by AAFCS. An annual test site application and Test Site Agreement must be submitted online.

  • Are definded by the structure or level of testing and data reporting needed. (e.g., institution level, department/campus level, or instructor/teacher level).
  • The assessment registration and data results will be grouped by the level at which the test site is defined.
  • Are not defined by the actual physical testing location or facility.

AAFCS Pre-PAC Test Sites will identify individuals to serve in the following roles:

Test Site Administrator: The Test Site Administrator should be administrative personnel (e.g., Principal, CTE Director, Dean).

Test Site Coordinator: The Test Site Coordinator should be personnel who can manage and assist all aspects of the assessment processes (e.g.,Testing Coordinator, Teachers/instructors of record). 

Test Site Proctor: The Test Site Proctor will administer the assessment.  Proctors must be test site employees. Teachers/instructors of record may not serve as the sole proctor.  

The personnel identified as the Test Site Administrator and Test Site Coordinator will receive the initial communication with login credentials for access to the online order center and the assessment portal. Thereafter, the Test Site Coordinator will receive all communications and will be responsible for sharing the communications with the Administrator, Proctor and teacher(s) as necessary to complete the assessment administration.

Please note that the Test Site Approval Agreement must be completed online by the Test Site Administrator.  Upon submission, a copy of the application will be emailed to the “email address” provided at the beginning of the application.   

An approval confirmation email will be sent to the Test Site Administrator and Test Site Coordinator within five business days.  If the test site has not received the email, please check the "spam" or "junk" folder first and then contact AAFCS
. Retain this email communication for future reference as it contains important credentials (username and password) for placing an order and accessing the assessment system. 

The Test Site Application includes the following fields:

  • Test Site Name: Type in the name of the test site (e.g., agency, school, campus, organization)
  • Address: Mailing address for the test site
  • City: City where the institution resides
  • State: Use the 2-Letter State Abbreviation (in all caps)
  • Zip: Enter the 5 digit zip code
  • Registration Type: Identify the site as “Academic” (e.g., secondary or post-secondary) or “Non-Academic” (e.g., business, industry)  
  • Name, Role & Email Address for Test Site Administrator
  • Name, Role & Email Address for Test Site Coordinator

Test sites will be asked to agree to Pre-PAC Assessment Stipulations. Click here to view the stipulations prior to completing the application.. 

The Test Site Administrator must accept the stipulations to indicate acknowledgement and agreement and then type their full name denoting their signature. 
 

The Test Site Administrator and Test Site Coordinator will receive email confirmation of approval within 2-3 business days. If the test site has not received the email, please check the “spam” or “junk” folder first and then contact AAFCS.

The Test Site Administrator and Test Site Coordinator responsibilities include, but are not limited to, the following: 

  • Liaison between AAFCS, test site personnel, and test candidates;
  • Order Pre-PAC products and services;
  • Manage the online assessment registration system;
  • Secure adequate testing location and proctor;
  • Maintain security and proctoring guidelines;
  • Ensure test site technology is compatible with online assessment system;
  • Access Pre-PAC Data Reporting System to view, print, or export score reports; and
  • Provide score reports and certifications (if applicable) to test candidates and those instructors who provide instruction and preparation for the assessment.
