Instructions for Assigning Testing Voucher Numbers to Students
These instructions explain exactly how test sites should assign testing voucher numbers to students before they begin testing. Please follow each step carefully.
1. Review Your Voucher List
-
You will receive a list of voucher numbers.
-
Each voucher number can be used only once and must be assigned to one student.
-
Keep your list in a safe place so voucher numbers are not lost or used twice.
2. Decide When to Assign the Voucher
Test sites may assign vouchers in one of two ways:
-
Before the testing day (recommended for efficiency), OR
-
On the day of testing before the student begins the test.
Regardless of when you assign the voucher, it must be connected to the correct student before they start testing.
3. Assign a Voucher to a Student
-
Select a voucher number from your list.
-
Write down or record which student receives that voucher number.
-
Ensure each student has a different voucher number.
Tip: It is recommended to keep a simple record such as:
| Student Name |
Voucher Number |
| Student A |
XXXXX |
| Student B |
XXXXX |
This helps you track which voucher belongs to which student.
4. Have the Student Update Their Profile
Before beginning the test, each student must check their profile information.
Students must:
-
Log into the assessment portal with voucher number and password.
-
Edit their profile/account information (click on drop down menu in upper right corner near voucher number and choose "Edit Profile").
-
Click on "Main Tab" and update their name (first and last name) and add Student ID number to the "Alternate Name" field.
-
Scroll to bottom of screen to save changes.
-
Save the changes before starting the test.
⚠️ Important: If the student’s name is incorrect in the profile, the test results WILL NOT be properly recorded.
5. Confirm Before Testing Begins
Before the student starts the test, the test site should confirm:
✔ The student has been given a voucher number
✔ The voucher number is recorded next to the correct student
✔ The test rosters shows student names and not voucher numbers. Proctors should NOT check-in a student until the first and last name is displayed.
6. Test Site Responsibility
Test sites are responsible for:
-
Assigning voucher numbers to students
-
Ensuring each voucher is used only once
-
Keeping a record of which student received each voucher
-
Making sure students update their profile name before testing
7. Final Check
Before testing begins, ask students:
Only begin testing once both items are confirmed.
